This function allows you to create a distribution list to be used in MS Outlook, providing the ability to send a generic email message to all customers meeting the selection criteria or as tagged. If not, please first visit our Microsoft Outlook Integration document .
To create list based on specific criteria as found on customer record click the Expression Builder button and then click Proceed. The following window will appear in which you will make your selections. If assistance is required, please first visit our Expressions Builder document or call or email Power Broker Support.
The sample provided will generate a list of customers with Status Code of PRO. When you have completed entering all selection criteria, click OK and you will be prompted to provide a name for the distribution list.
Provide a name that will clearly identify the distribution list for later use. Once name has been provided press <Enter> or click Proceed and the Outlook Distribution list will be generated. You may be prompted with a Microsoft Office Outlook warning asking you to confirm access to email address information. This prompt will appear for each customer unless you indicate to “Allow access for” 5 or 10 minutes.
When distribution list is displayed be sure to click Save and Close. It is important to NOTE that invalid email addresses will be ignored. Customer Email Address must have a ‘@’ sign as well as a dot extension – e.g. .com; .net; .ca, etc.
Distribution lists may be used repeatedly – however it is recommended to update the list regularly to include any new customers meeting your selection criteria.
To send an email message to all addressees on your Outlook Distribution list create a new email message in Outlook and then click on the <To> button to select your distribution list. Click <Send> and email will be sent to all addressees on the distribution list.
Toggle: The Toggle method allows you to select individual customers, tagging to add to the distribution list. Click Toggle and then click Proceed. Tag with an ‘X’ in the Tag column and then click Proceed to create list.
