Duplicate Policy Numbers

With the recent changeover to the new HUON system by both Royal Sun Alliance and AXA Insurance companies, we have received reports of duplicate policy numbers being issued by both companies.  Both Royal and AXA are issuing policy numbers with a PER prefix.

Although the chance of a broker being assigned the same policy number by both companies is very unlikely, to prevent the overwriting of policy information when merging a duplicate policy number received in download , Power Broker has made a program change to our Merge Daily Automobile and Merge Daily Habitational Download programs.  When a duplicate policy number is detected in the download the operator will be prompted on screen .  The operator will not be able to proceed with the merge until they either change policy number on the policy already existing on the system, or run our new EDI menu function “Change Downloading Policy Number” and change the policy number on the policy received in the current download. 

Our recommendation is that a standard is established whereby all duplicate policy numbers be changed for the same company.   For example:  all occurrences of duplicates will result in the change of the AXA policy number and that the change be to add a policy number extension of AXA.

This program change is available now in our Build 18 currently posted on our Web site.  Note that activation of this new feature of checking for duplicate policy numbers in download requires further setup in Define Your Company Information and in the Insurance Company table.  Please refer to the Enhancement Listings for more information on this change.

Every time (not just the first time) a policy is received in download and the policy number already exists on the system with a different company code, the operator will be notified on screen.  The operator will then take the appropriate action and merge to the amended policy number.  This will require that the policy for which the policy number has been altered, be shown as a Binder 'Y' indefinitely, so that it will be valid to merge to in all subsequent downloads for the policy. 

If this is not the first time this duplicate policy number has been received, then the operator has already given the policy a new number and will merge to this altered policy number.  In these rare cases, the broker's policy number will never match exactly to the company's policy number.
